Learn how to get started with your meetings and see other frequently asked questions around scheduling meetings below.

Get Started

Before you begin: Download the GoTo desktop app or use our browser-based web experience.
  1. First, decide what type of meeting is right for you. You are welcome to use multiple meeting types for different purposes.
  2. Next, create your one-time or recurring session. Some things to note:
    • If you need to update the time/date of a recurring session, simply change the desired information in the calendar invitation you send out to your attendees as there is no time/date associated with the recurring meeting room itself (it is available for use 24/7 and does not expire).
    • If you are scheduling a one-time meeting, then GoTo Meeting will automatically display today's date and the nearest future time based on your account's time zone. If you need to change your account's time zone, select your profile icon > My profile > Time zone, select the desired time zone and then select Save.
    • If you need to cancel a session, that can be done using the trash can icon on the session details page post-creation. Be sure to update anyone you've already invited so that they are aware of the change.
    • You can use any or none of the available features such as screen sharing or remote control. If you'd like to have an audio only session, set the audio options to long distance and/or toll-free numbers only, so everyone uses the phone to connect to audio. You will need to start your session though before anyone can call in.
  3. Customize your session as desired, including the audio options you want to offer attendees. We recommend allowing both VoIP and dial-in options for the optimal attendee experience.
    Tip: As needed, any organizer or participant can easily switch their audio mode during the session.
  4. Invite others to attend your session. We recommend setting some expectations in your invitation as to the meeting topic and your desired experience so attendees can come prepared. You can also encourage them to check their system for compatibility and test their audio beforehand.
  5. When ready, start your scheduled or instant meeting using the web, desktop, or mobile app.

    Troubleshooting: The Meetings page lists all of your upcoming, in-session, and recurring meetings. If you just scheduled a meeting, try refreshing the page to see if it appears. Select Show meetings from the past 30 days to display more sessions. If you still don't see the desired option, it's likely that your meeting expired and you will need to reschedule your one-time session or use a recurring meeting room.

What to do next: Spend a few moments ahead of time learning how to use our most popular features such as sharing your screen or camera, sending chat messages, using drawing tools, or recording the session so you can feel confident when you start your session.

Common Questions

Here are some common questions that we are asked pertaining to scheduled meetings:
Question Answer
Can I keep the same meeting ID and/or phone numbers for all of my meetings? Yes, every meeting you schedule gets its own unique meeting ID and audio information, but if you use the same recurring meeting for each occurrence of your meeting series (instead of scheduling a new meeting for each session), then your meeting ID and audio information will remain the same. You can also reserve your personalized meeting page, which has a custom URL and is available to you 24/7 using it's own recurring meeting ID.
Note:  Keep in mind that the phone numbers may change if you add or remove countries for dialing in by phone (long distance and/or toll-free numbers), because GoTo Meeting will generate phone numbers for all selected countries.
If I edit a scheduled meeting, will the meeting ID and dial-in information change? Editing the meeting details, such as the date and time, does not change the meeting ID or the audio information of an already scheduled meeting. Regardless, an updated invitation text is provided when you save changes to a scheduled meeting for you keep your attendees informed of the new time or additional audio information.
What is a preferred number and how do I set it? You can include dial-in numbers for over 50 countries through our built-in audio. The invitation text lists all the numbers for your attendees. A preferred number is the number that appears at the top of that list.

You can set your preferred number from the audio settings section of your admin account. Select Edit next to the dial-in option and then select the star next to the desired number that you want to be at the top of the list. You can only select one preferred number at a time.

I need phone numbers for more countries. How do I set or change the countries for dial-in numbers? You can include the dial-in numbers for over 50 countries by selecting the countries in audio settings. Select Edit next to the dial-in option in your audio settings and then select all countries you want to include. Make sure to save your changes. If you have enhanced audio (Toll Free Numbers), you can add or remove toll-free numbers the same way.

Troubleshooting

Here are some common questions that we are asked pertaining to scheduled meetings:

My meeting stopped working and I get an error if I try to re-start a meeting. Why is this happening? It's likely that the meeting was a one-time session that has expired. If you do not want your meeting to expire, use a recurring meeting room for future sessions. If it is not expired or you are using a reusable room and are still unable to start a meeting or get errors while logging in, select Contact Support to check your account status.
It says "another meeting is already scheduled for this time." What does this mean? As an organizer, you can only host one meeting at a time, so you may have already scheduled a meeting that conflicts with the one you are trying to schedule. These conflicts can occur if you're sharing a GoTo Meeting account. You can easily add more organizers to your account so each organizer can schedule and host meetings freely. If you need to add your colleagues to your account, select Contact Support or change your plan at any time.
