Use virtual fax

Send, receive, view, download, share, and delete virtual faxes.

Before you begin: Fax storage must be enabled in system settings, and you must have virtual fax permissions enabled by an admin.
Note: Faxes in the app are stored for a maximum of 90 days. Large files that are greater than 10MB will be deleted after 21 days.
Available for United States, Canada, United Kingdom, Germany, Ireland, Italy, Australia, France, Spain, and Austria. Virtual faxing is supported internationally to 50+ countries for free, excluding Mexico and Brazil.
Note: As Austria is not part of the free countries, only EMEA countries can fax to Austria.

Desktop or web app

  1. Sign in to the desktop or web app.
  2. Select Phone > Fax from the left sidebar.

    Troubleshooting: If you don't see Fax from Phone, an admin must enable virtual fax permissions for your account.

  3. Select a fax from the list and then choose what you want to do.
    Fax Options How-to
    Preview a fax Select the thumbnail to open a preview. Only the first page of the fax is included in the preview.
    Download a fax Select Download fax icon. The fax will be automatically saved to your downloads folder.
    Mark a fax as read Select Read fax icon. Select it again to mark as unread.
    Delete a fax Select Delete icon and then Delete to confirm.
    Note: Only available if the delete permission has been enabled by an admin.
    Send a fax Watch video
    1. Select the down arrow next to Dial from the left sidebar and then select New fax.
      Note: If you don't see New fax, an admin must enable virtual fax permissions for your account.
    2. Choose the fax number to send the fax From.
    3. Search for a contact's name or enter a fax number from To.
      Note: Fax numbers must be formatted as “X-XXX-XXX-XXXX” (e.g.: for USA use +1-XXX-XXX-XXXX).
    4. Optional: To include a cover page, select the box next to Use cover page.
    5. Enter the fax Subject and Notes (if applicable) and then select Next.
      Note: You don't need to add the access code while sending a fax from the app.
    6. Drag and drop files or select Browse files and then select Next.
      1. Supported file types: .pdf, .rtf, .txt, .jpg, .png, .tiff, .bmp, .gif, .doc, .docx, .ppt, .pptx, .xls, .xlsx.
      2. Maximum of 40MB for all attached files. You can send up to 500 pages, though the quality will be reduced after 150 pages.
    7. Review the fax details and then select Send when ready.
What to do next: You will receive an email in the case of transmission failures. Email communications will be sent from @goto.com, @jive.com or @jivecommunications.com. Please ensure these domains are allowed so that emails are not automatically filtered as spam.

Mobile app

  1. Sign in to the mobile app.
  2. From the bottom navigation menu, select Fax.

    Troubleshooting: If you don't see Fax, an admin must enable virtual fax permissions for your account.

  3. Select a fax from the list and then choose what you want to do:

    1. Select Mobile Fax Options Icon.
    2. Select Share.
    3. Choose how you would like to share the fax.
    Download a fax
    1. Select Mobile Fax Options Icon.
    2. Select Download.
    3. Choose where to save your downloaded fax.
    View details of a fax
    1. Select Mobile Fax Options Icon.
    2. Select View Details.
    Delete a fax
    1. Select Mobile Fax Options Icon.
    2. Select Delete and then select Delete to confirm.
      Note: Only available if the delete permission has been enabled by an admin.
    Send a fax
    1. Select +.
    2. Search for a contact's name or enter a fax number from Send to. You can send a fax to up to 50 recipients.
      Note: Fax numbers must be formatted as “X-XXX-XXX-XXXX” (e.g.: for USA use +1-XXX-XXX-XXXX).
    3. Choose the fax number to send the fax From.
    4. Optional: To include a cover page, enable the toggle next to Use cover page.
    5. Enter the fax Subject and Notes (if applicable).
    6. Select Add a file and then choose the attachment.
      1. Supported file types: .pdf, .rtf, .txt, .jpg, .png, .tiff, .bmp, .gif, .doc, .docx, .ppt, .pptx, .xls, .xlsx.

Email

Faxes sent through email will not be shown in the desktop or mobile apps.
  1. From your email account, compose a new message.
  2. Enter faxNumber@‹domain›.fax.goto.com in the To: field.
    • Replace faxNumber with the external 10 digit fax phone number, without the 1 or any dashes (e.g., 8012321987). You cannot send a virtual fax to an internal extension or a number that requires an extension (e.g., 8012321987 ext 1121).
    • Replace [domain] with your unique domain. PBX Administration (classic) users will find their domain in the parentheses at the top of their portal dashboard. GoTo Admin portal users will find their domain in Account Settings.
    Note:
    • We are now GoTo and the address has been updated. However, faxNumber@‹domain›.fax.onjive.com is still supported.
    • You can now send virtual faxes to multiple recipients. You can add recipients to the To, CC, and BCC fields.
  3. Enter the virtual fax machine’s access code in the Subject: field. If you add a subject, enter a space after the access code and then include the subject (e.g., 294034210 March Invoice).
    Note: If you do not have the virtual fax machine’s access code, contact your admin for assistance.
  4. Remove all text from the body of the email, including email signatures.
  5. Attach file(s) to the email. If including a cover sheet, attach that first. Supported file types:
    File Type File Format
    Microsoft Office .doc, .docx, .ppt, .pptx, .xls, .xlsx
    Document .pdf, .rtf, .txt
    Image .jpg, .tiff, .png, .bmp, .gif
    Note: Larger files may experience lag time or potentially fail. We recommend no more than 200 pages at a time.
  6. Select Send.
    Note: Once you send a fax, you cannot cancel it.
What to do next: If the fax was delivered successfully, you may or may not receive an email confirmation as this functionally must be enabled by your admin. Emails are always sent in the case of transmission failures. Email communications will be sent from @goto.com, @jive.com or @jivecommunications.com. Please ensure these domains are allowed so that emails are not automatically filtered as spam.
