Activities & Breakouts

Learn how to run activities and breakouts in GoToTraining

1Prepare for your breakout

Before you host a training with activities and breakouts, review these best practices.

  • Make sure Instant Join is enabled for attendees (found in your settings).
  • Plan your breakout ahead of time to maximize engagement and understand how the tool works.
  • Set Google Chrome as your default browser.
  • Remind all participants they must have Google Chrome installed to participate in a breakout.
  • Connect to audio using Computer audio rather than Phone call.
  • Have your Google credentials ready if you are planning on using the collaborative features (e.g., editing a doc).
  • Assign only one staff member to facilitate the breakout.

2Prepare your Google Drive

If you are planning to collaborate on files in your Google Drive, we suggest you prepare these before the training.

  1. Launch an instant training.
  2. In the Activity pane, click Choose an Activity. This will open the Breakout window in a Google Chrome browser.
  3. Under "Edit a doc together", click Sign in with Google. When prompted, grant GoToTraining access to your Google account.
  4. Click + Add New to launch your Google Drive account, where a new GoToTraining folder will automatically be created. Any files you add to this folder will be listed in your Activity Center page, and any files worked on during the session will be saved to a sub-folder.
  5. You can always add files during the training by adding to the GoToTraining folder.

3Launch an activity with breakouts

Once you're in a training, you can launch an activity at any time. While you are prepping the breakouts and activities, all screen sharing will be paused.

  1. Remind all attendees that they need to be joined from a Google Chrome browser. If they are not, they need to rejoin the training or copy and paste the Activity link to a Chrome browser.
  2. In the GoToTraining Control Panel, open the Activity pane.
  3. Click Choose an Activity. If Google Chrome is not your default browser, copy and paste the link into a Chrome browser.
  4. The Breakout window will open in a browser.

4Create and assign breakouts

You can run activities with all your attendees together or split them up into breakouts.

You can have up to 6 breakout groups or place all participants in one. All participants will be randomly assigned to a breakout. Once your breakout is set, click Start.
You can drag and drop participants to specific breakouts before starting it. Once started, you cannot move participants from one breakout to another. To do so, end the breakout and start a new one.

What happens if someone joins late?

If a breakout is in progress and a participant joins late, they will be randomly assigned to a breakout.

Q:

How do I know if someone dosen't successfully join a breakout?

Participants who don't successfully join a breakout will be listed under "An attendee hasn't joined the breakout yet".

5Choose an activity

GoToTraining offers 4 activities for you to choose from. You can switch to a new type of activity at any time during the session.

All participants can view and make edits on a shared Google Drive file such as Google Doc, Google Sheet, Google Slide, and Google Drawing. After you launch an activity, click Edit a doc together and sign in to your Google account. You can click + Add New to open your Google Drive account and add files to the GoToTraining folder. Any files you add will be automatically listed in the Activity Center page. Learn more.
You can share files that you have added to your Materials in GoToTraining. This can be done before the session or during. In the training's Material page, click + Add Material to upload from your computer, your GoToTraining library or a hyperlink to a file that is hosted elsewhere (e.g., YouTube video). Learn more.
You can let participants share their own screens in their breakouts. A preview of all breakouts will appear on the Activity Center page.
Paritcipants will have separate discussions in their breakouts. In this case, nothing will be shared on the screen for participants while they chat. Please note this option is only available if you have 2 or more breakouts.

6Monitor the activity and breakouts

You can monitor the progress of each breakout group by joining them. If participants are collaborating on a Google file, you can see an overview of the current files from the main Activity Center page or preview each breakout.

Additionally, you can send a message to all breakouts. Because participants cannot reply back to you, let them know they can raise their hands if they questions.

7Review shared documents

If participants collaborated on a shared Google file, you can open your Google Drive and share these files once the breakouts have ended.

Q:

How do I help attendees join from Chrome successfully?

Before the training, we suggest you notify all attendees to set Google Chrome as their default browser. If this is their first time joining, they will be prompted to allow the browser to access their microphone. If attendees join from an unsupported browser, they will be prompted to copy and paste the breakout link in a Chrome browser or to download Chrome if it isn't detected.

Can I have multiple activities during one breakout?

Yes, you can switch activities at any time during a breakout.
