How do I create and manage materials? (Classic)

    Materials are media files and web links that attendees can download onto their devices. Organizers can use materials to have attendees review content or complete tasks before, during or after a session. You can upload .jpg, .jpeg, .png, .gif, .pdf, .doc, .docx, .ppt, .pptx, .xls, .xlsx, .txt, .zip, .7z, .rar, .csv, .mp3, .mp4, .avi, .mov, and .wmv files.

    Add materials to your Library

    1. Sign in to your account at https://global.gototraining.com.
    2. From Library, select Materials > + Add Material.
    3. Determine how you want to upload your material:
      • From computer – Use this option to upload a new file from your computer. Select the Select a file less than 100MB link, select your file, add a description, and then select Save.
      • Add link – Use this option to add a hyperlink to a file that is hosted elsewhere (such as a video that is uploaded to YouTube). Add the URL, a title and description, and then select Add Link.

      Result: The material will automatically be saved to your Library, where you can access it at any time and add it to any future sessions.

    Add materials directly to a training

    You can add as many materials as desired to your session.
    1. From the Manage Training page, select Edit next to Materials.
    2. Select Add Material, and then select an upload method:
      • From computer – Use this option to upload a new file from your computer. Select the Select a file less than 100MB link, choose your file, add a description, and then select Save.
      • From library – Use this option to select an existing file that has been previously uploaded and is now in your Library. Choose previously uploaded materials, then select Add Materials.
      • Add link – Use this option to add a hyperlink to a file that is hosted elsewhere (such as a video that is uploaded to YouTube). Add the URL, a title and description, then select Add Link.

      Result: The material will be added to the Materials page.

    3. Select Settings icon to specify when the material should become available to attendees:
      • Upon registration – Attendees will see a section on the Registration Confirmation page (and in the Confirmation email) that directs them to review the materials before the session. This link will take them to the Attendee Materials Page.
      • During the training session – The material(s) will not be displayed on the Attendee Materials Page until after the session's start time. Instead, attendees will see a Materials pane in their Control Panel or app toolbar. They can download the Materials from there.
      • After the training session – The material(s) will not be displayed on the Attendee Materials Page until after the session's end time.

    Edit or remove materials from a training

    1. From the Manage Trainings page, select Edit in the Materials section.
    2. Optional: Select the title to edit an entry.
    3. Optional: Select the delete icon to remove an entry. This cannot be undone!

    Share materials with attendees

    Share materials in the following ways depending on the availability setting you specified for each item:
    • Include material(s) in the Confirmation email. To have a link to the Attendee Materials page automatically included in your session's confirmation email, select Upon registration when modifying the material's availability.
    • Display material(s) during the training. To have materials show up in a special Materials pane of the Control Panel or toolbar for your attendees, select the During the training session when modifying the material's availability.
    • Include material(s) in the Follow-Up email. To have a link to the Attendee Materials page automatically included in your session's follow-up email, select the After the training session when modifying the material's availability.
    • Share the Attendee Materials page at any time. The Attendee Materials page displays the materials uploaded to a session. Depending on the settings specified on the Materials page, some materials may not show up until after the session's start or end time (or may disappear once a session is over). Anyone with the direct URL can access the page. To access the URL, select the Attendee Materials page link under Manage Training > Materials [Edit].

    Update materials availability setting

    1. Sign in to your account at https://global.gototraining.com.
    2. Select the desired scheduled training to open it.
    3. Under Step 1: Add Class Activities, select Edit next to Materials.
    4. Select the Settings icon next to the desired material and then select the new availability:
      • Upon registration – Allows attendees to see see a section on the Registration Confirmation page (and in the confirmation email) that directs them to review the materials before the session. This link will take them to the Attendee Materials page.
      • During the training session – Allows attendees to see and download the material on the Attendee Materials page after the session's start time and on the Materials pane in their Control Panel or app toolbar.
      • After the training session –Allows attendees to view the material on the Attendee Materials page after the session's end time.
    5. Select Save.
