Find and manage recordings

Learn how to set your recording preference and manage your recordings post-session — including the viewing, editing (if applicable), and sharing of them, in one simple place.

Note: The features that are available on your account may vary depending on your subscription plan.

Set recording type

Check or change the type of recording you are using between online (cloud) recording and local recording. With online recording, the organizer or co-organizer who starts the recording will see a new entry automatically appear in their Video Library once the session has ended. With local recording, the organizer or co-organizer who starts the recording will have it saved to their local hard drive as a .G2M file.

  1. Sign in to your account at https://dashboard.gotowebinar.com.
  2. Select the Settings icon and then Recording > Saving and Sharing.
  3. Select the location you want to store recordings:
    • Save recordings to Video Library (Recommended) — Recordings are stored automatically in your Video Library, can include webcams (select Show webcams in recordings to include them), and can easily be edited, viewed, and shared online.
    • Save the recordings to my computer — Recordings are saved locally to a folder on your computer (the Documents folder by default, but you can change the folder location from your Preferences). Webcams are not included and recordings must be manually converted and then uploaded to your Video Library before you can view and share them. Any password protected webinars will be saved locally by default for security purposes.
    Note: There is no storage limit size or expiration date for your recordings.

Find and manage online recordings

If you set your recording type to online, your recordings are automatically available in the Video Library of your dashboard after they process. If you are not seeing them right away, check back in a few mins/hours (depending on the file size) to allow the processing to complete.

  1. Sign in to your account at https://dashboard.gotowebinar.com.
  2. From your Video Library, find the desired entry by scrolling or entering the title into the Search bar, and then select the More icon More icon.
    Attention: If you cannot access recordings post-session, it is likely due to a need to re-authenticate for security purposes. Signing in to the dashboard to start your webinar or switching to our new and enhanced GoTo experience eliminates this situation. Should you run into any issues while completing the re-authentication process, please complete our Contact Us form.
  3. Choose what you would like to do;
    Choices Steps
    Upload a local recording Local recordings must be converted before uploading. See Find and manage local recordings for instructions.

    Select the empty field to upload or drag and drop your converted recordings from the designated folder on your computer.


    Note: Recording files must be in .WMV or .MP4 format and less than 5 GB. The recording will be processed automatically and optimized for playback. You can choose to have an email sent to your once the recording is ready.
    Download recording
    1. Select Download.
    2. Choose a location on your computer to save the file, and then select Save to begin downloading the .MP4 file automatically
    Note: Sessions recorded locally should already be available on your computer.
    Share the recording/copy the link Select Copy Share Link and then paste to the desired location to send to attendees.
    Note: They will be prompted to register before viewing the recording which allows you to run a report to see who has viewed it.
    Download video report
    1. Select Download Video Report.
    2. Select the desired file type (Excel or .CSV) and then select Download.
    3. Open the file from your downloads to view the available information.
    Edit recording
    1. Select Video details or Edit video.
    2. From Trimming, decide if you want to Download a copy before Triming the original file.
    3. Drag the scissor icon over the pieces you want to cut. Zoom in or out as needed. Make sure there's no overlapping cuts (indicated by red).
    4. Select Preview to check your changes, make any additional edits as needed, and then select Save changes.
      Note: It can take 10-15 minutes on average to save and process your changes. Once processed, the video will update automatically in all linked places (e.g., Follow-Up emails, Recorded events, GoTo Stage).
    Transcribe recording — Available in English only
    1. Select Edit transcript.
    2. From Transcripts, select Generate transcript.
    3. Click into the transcript to enter edit mode and make any needed changes. You can also use keywords to search the transcript.
      CAUTION: If you regenerate the transcript, it will remove all your edits and revert back to the original version.
    4. Select Save Changes when finished.
    5. Copy and paste the transcript as desired. If sharing the recording, transcripts will be included automatically below the video.
    Note: If you'd like to have your recordings and uploaded videos automatically transcribed, you can enable it in your settings.
    Preview recording Select the Play icon. A window will automatically open and play back your recording.
    Delete recording Select Delete Video > Delete to permanently remove the recording.

  4. Select Save after any changes.

Find and manage local recordings

If you set your recording type to local, your recordings are stored in your computer's Documents folder by default as temporary .G2M files. You can change the folder recordings save to as desired.

Local recordings need to be converted via the Recording Manager and uploaded to your Video Library before they can be viewed and shared.
  1. Open the File Explorer (Windows) or Finder (Mac) on the computer of the person who started the recording.
  2. Find and select the folder you saved your recordings to. If you haven't changed the default option, it will be the Documents > Originals folder for Windows or the Documents > Recordings folder for Mac.
    Note: On a Mac, unconverted recordings can be found in the tempAV subfolder of Recordings. To start the conversion process, you can double click on the recording or open your Recording Manager folder.
  3. Find the desired recording in the folder.
  4. To convert the recording;
    1. Open the GoTo Webinar desktop app and then select Preferences > Recordings > Convert Recordings Now.
    2. Under Recordings you need to convert, any unconverted files will be listed (both the most recent session and any past sessions that were not yet converted). Use the check boxes to select the files that you wish to convert.
      Note:  If you do not see the recording you are looking for, confirm that it was recorded locally and then locate it on your computer and move it to the right folder. It will then automatically appear in the Recordings you need to convert section.
    3. From Choose a file format, select .MP4 (recommended) or .WMV (will only play on Windows devices).
    4. Select Convert Recording. It may take a few minutes depending on the file size(s), content, and amount of recordings selected.

      Result: Once the file has been successfully converted, it will be moved to the Converted recordings list in the Recording Manager.

What to do next: Once uploaded, your recording(s) can be managed just like online recordings. You can preview, edit, download, or share the recording. See the instructions for the desired action(s) in the table under Find and manage online recordings.
