Use a dial by name directory

Your system comes ready with an internal directory (includes all extensions) that is assigned as the default directory. You can edit this directory or create a new default directory that internal users can access by dialing *11.

GoTo Admin

If you're an admin who signs in at https://admin.goto.com, these steps are for you.

Create a new directory

Before you begin: You must have an admin or super admin role to perform this task.
  1. Sign in to GoTo Admin.
  2. Select Phone system (phone in a cloud) icon Phone system in the left navigation menu and then from the Utilities section, select Directories.
  3. Select Add directory on the top-right and choose Dial by name from the drop-down list.
  4. Enter a Name for the dial by name directory.
  5. Select Save and then choose the new dial by name directory to configure its settings.
    Note: You can configure the settings to include all extensions, or select specific ones to be included or excluded in the directory.

Customize the settings

Name The name used to identify the directory in the admin portal.

Extension configuration Include or exclude extensions from the dial by name directory you will choose in the next setting.
Extensions Choose the extensions to be allowed or denied based on the above setting.

Record personal directory name

Override the default setting by recording directory names from your phone with star codes. Directory recordings cannot be reverted back to the default settings where the name is spelled out, but they can be re-recorded.

  1. Dial *21 from your phone.
  2. Enter your voicemail password (default 0000).
  3. Record your full name after the tone.
  4. Press # and then choose one of the following:
    • 1 to accept the recording
    • 2 to listen to the recording
    • 3 to re-record

Record others’ directory name

Override the default setting by recording directory names from your phone with star codes. Directory recordings cannot be reverted back to the default settings where the name is spelled out, but they can be re-recorded.

  1. Dial *22 from your phone.
    Note: If you dialed the star code from someone else’s phone that does not have permissions, enter your numerical dialable username given to you by an admin.
  2. Enter your dialable password (default 0000).
  3. Enter the extension.
  4. Record the extension's name after the tone.
  5. Press # and then choose one of the following:
    • 1 to accept the recording
    • 2 to listen to the recording
    • 3 to re-record

Search the default dial by name directory

Use a star code to search from your phone for a contact within the default directory.

  1. Dial *11 from your phone.
  2. Using your keypad, enter the first three letters of your destination party’s first or last name. The system will then read the matching extensions. If no matches are found, it could be because a system admin has omitted the extension from the directory.
  3. Press 1 to dial the extension or * to perform a new search.
    Note: Each letter is represented by a number on your phone’s keypad. You do not need to press a number more than once to spell the second, third, or fourth letters represented by that key.

Use a dial by name directory in a dial plan

Before you begin: You must have an admin or super admin role to perform this task.
  1. Sign in to GoTo Admin.
  2. Select Phone system (phone in a cloud) icon > Call routes > Dial Plans in the left navigation menu and then choose the dial plan you want to edit.

    Result: The dial plan editor will launch in a separate window.

  3. Drag and drop the Directory node from the left navigation menu to the desired spot on the canvas.
  4. Drag and drop Record (target) icon of the previous node to the left side of the Directory node, connecting the nodes to prevent dropped calls.
  5. In the Choose field, select the directory that will be used.
  6. Continue to build the call flow.
  7. Select Save.

PBX Administration (classic)

If you're an admin who signs in at https://my.jive.com/pbx, these steps are for you.

Create a new directory

Before you begin: You must have an admin or super admin role to perform this task.
  1. Sign in to PBX Administration (classic).
  2. Select Dial By Name Directories in the left navigation menu and then select Add Dial by Name Directory.
  3. Enter a Name for the dial by name directory.
  4. Select Checkmark Icon and then choose the new dial by name directory to configure its settings.
    Note: You can configure the settings to include all extensions, or select specific ones to be included or excluded in the directory.
What to do next: To assign this new directory as your default, select System Settings > General > General, select this new directory, and then select Save.
