Set up a phone's button configuration in the admin portal

Personalize phones, including their attached sidecars, to meet the needs of each user and choose how the available buttons will function.

GoTo Admin

Before you begin: You must have an admin or super admin role to perform this task.
  1. Sign in to GoTo Admin.
  2. From Devices (deskphone) icon Devices, choose the desired phone.
    Tip: You can filter the list by choosing a device type at the top.
  3. Select Settings > Button Configuration.
    Each button type will have a colored icon in the Button field. The color represents device status:
    • Blue: Device is online and ready to make and receive calls.
    • Gray: Device is offline and cannot make or receive calls.
    • No color: Device is not configured.

    If your device is showing as gray or no color, verify the phone is properly plugged in, provisioned to your account, and associated with a user that has a license with the phone capability.

  4. Choose to enable the following buttons in applicable:
    • User configuration of speed dial buttons: Users can change all speed dial buttons in the GoTo app.
    • Poly button configuration: If disabled, only lines will be available.
    • Poly directory contact buttons: Convert directory contacts into buttons. If disabled, speed dial and presence directory entries will not be converted into a button.
    • Poly presence buttons: Update presence buttons to busy lamp field (BLF) or buddy watch.
  5. Choose a button Type. Not all button types are available for every phone model.
      • Not Configured: No button type is selected. Button will not function.
      • Line (no ring): Allows you to choose a primary or secondary direct extension. Lines cannot be duplicated on a single phone. There will be no audible ring on this button.
      • Speed dial w/ presence (buddy watch): Allows you to add an internal extension or an external phone number as a speed dial that can be monitored visually using the light icon next to the button. For Polycom devices only.
      • Speed Dial: Allows you to add an internal extension or an external phone number as a speed dial.
      • Speed Dial (w/presence): Allows you to add an internal extension or an external phone number as a speed dial that can be monitored visually using the light icon next to the button.
      • Speed dial / Transfer w/ presence: Allows you to use speed dial when not on a call, but will enable one-touch transfers to the monitored extension when on a call.
      • Line: Allows you to choose a primary or secondary direct extension. Lines cannot be duplicated on a single phone.
      • Call Park: Assigns the button as a call parking spot to park calls to with presence monitoring.
      • Custom Defined on Phone: Allows the phone to have functionality manually assigned to the button that cannot be overwritten by provisioning.
  6. Choose an Extension for each configured button.
  7. Choose a Label to determine how the buttons are displayed. Enable Label inherit to automatically use the name of the extension previously chosen.
  8. If prompted, choose an Extension type.
  9. Verify the button configuration is correct.
  10. Select Save when complete and then select your resync preference:
    • Save: Changes will be saved and applied the next time the phone reboots.
    • Save & resync now: Changes will be applied to the device immediately. This may take a few minutes, but will not shut down the device entirely.
    • Save & resync overnight : Changes will be applied to the device between 11pm and 3am on the device's timezone. This may take a few minutes, but will not shut down the device entirely.
What to do next: Verify the updated button configuration on the phone is accurate.

PBX Administration (classic)

Change a user's lines and buttons on their phone

Personalize phones, including their attached sidecars, to meet the needs of each user.

Before you begin:
  • You must be assigned the Admin or Super admin role to perform this task.
  • Verify a hardware profile has been assigned to the device to ensure all compatible button types are available.
Note: The number of buttons and button types available are dependent on the user’s phone model; see the phone’s user manual to learn more.
  1. Sign in to PBX Administration (classic).
  2. From the left sidebar, select Devices and then select the phone that requires changes.
  3. From Button Configuration, choose the desired button Type:
    Option Description
    Not configured No button type is selected. Button will not function.
    Line Allows you to choose a primary or secondary direct extension.
    Line (No Ring) Allows you to choose a primary or secondary direct extension. There will be no audible ring on this button.
    Speed Dial w/Presence (Buddy Watch) Allows you to add an internal extension or an external phone number as a speed dial that can be monitored visually using the light icon next to the button.

    Call Park Adds a call parking spot to the button to park calls to a specific spot with presence monitoring. Enter a label for the button and then a parking spot for the extension (e.g., 8).
    Note: Not all phones support this feature
    Multicast Adds a paging zone to the button for transmitting pages.
    Note: Supported on Cisco MPP, Polycom, and Yealink only.
    Note: Not all phones support this feature.
    Custom Defined On Phone Allows the phone to have functionality manually assigned to the button that cannot be overwritten by provisioning.
  4. Edit the button Label.
    Note: The button label overrides the line name.
  5. Choose the extension you want assigned to the button.
  6. Select Save.
  7. Power cycle the phone to apply the changes.

Set up presence monitoring

Visually monitor the speed dial line keys assigned to your phone to see if a contact is busy or available.

Before you begin: You must have an admin or super admin role to perform this task.
The capacity to presence monitor is dependent on the number of line keys on your phone.
  1. Sign in to PBX Administration (classic).
  2. From the left sidebar, select Devices and then select the phone that requires presence monitoring.
  3. From Button Configuration, check Allow this device to monitor the presence of other devices.
  4. Choose Speed Dial w/Presence as the button type, and then choose the extension to be monitored.
    Note: To presence monitor a call parking spot, change the type to Phone Number (icon next to the extension) and then enter *37 + the parking spot number.
  5. Optional: Edit the button label. Changing this overrides the line name.
  6. Select Save.
  7. Power cycle the device to apply the changes.
